First of all, go to Leave Management >Leave Setting at PeopleX Web Portal to setup the leave according to your leave policy in order to automate the leave entitlement.
By default, several commonly used leave categories already generated automatically and will be listed here. Click view for the details or edit to amend accordingly if required. You may also deactivate or delete it if necessary. If the leave categories generated matches your leave policy, you may skip the following steps.
Creation of Leave Category
If you need to add a new Leave Category, click on Add Leave to create a new leave setting. Input the compulsory fields according to policy.
- Code : Do not leave a space for the Leave Code.
- Name : Enter the Leave Name
- Type : Select Unpaid or Paid Leave
- Parent Leave Type: Only select the parent leave if the leave category is a sub-category. Leave type will have ‘0’ entitlement and tagged to parent leave’s entitlement. (Eg: Emergency Leave is linked to parent leave - Annual Leave)
- Sequence no & Color : Indicate how the Leave Category appeared in your mobile app.
- Description: Enter a proper description for reference in the listing screen
Setup Leave Policy
Continue the setup of leave policy according to company policy.
Select accordingly and input the information if applicable.
You may also link 2 type of leave and automate the deduction of leave from the usage of another. (Example : Learn more on how to set maximum entitlement for Sick Leave and Hospitalization Leave )
Define Entitlement
Next, move on to Entitlement to define the leave entitlement automation.
You can create multiple entitlement rules and tagged to different grade/ level/ department/ employee.
Click Add Entitlement.
After you click Add entitlement, a popup will appear where you can choose whether the Entitlement is For All Year (fixed irrespective of the years of service) or Based on Service Year.
1. For All Year
- Input the Entitlement & Grant Method (before or after service year completed).
- Set when leave entitlement should began to accrue at Start Earn Leave. It can either based on the Date of Joining or Confirmation, or even a fixed duration after the Date of Joining or Confirmation.
- At Allow Leave Application, set when leave application will be allowed. It can either based on the Date of Joining or Confirmation, or even a fixed duration after the Date of Joining or Confirmation.(The Date of Confirmation and the Date of Joining fields must be filled under Employee’s official info)
- By default, Accrual is on Yearly basis. Change it to Monthly if leave is credit on earn or monthly basis.
- Input the Max Carry Forward to automate maximum number of days allow to carry forward to next year. (Input 999 if no restriction on maximum)
- Set the Carry Forward Expired Duration to automate the expiration according to the duration set.
- Probation Max Entitlement is to set the maximum leave limit for probation staff. Ignore if not applicable.
- Put a Remark for reference in the Entitlement Detail screen.
- Finally, set your Target Rule for this leave entitlement to indicate the target or who will be subject to this policy.
- If there's no rule being set, the setting will be applied to all.
- Click Add Criteria if you need to set the rules.
- Select the Criteria Key from the drop-down menu. All available selections based on criteria selected will be displayed. Select the relevant Value and click OK. By default the condition is set to In where you can change if not relevant.
- If you need more than one criteria, click Add Criteria and repeat the above step.
- Click Preview button to check the rules.
- Click Add once done and Save the setting.
2. Based on Service Year
- Click Add Service Year to input the Entitlement by year of services completed. (Please input from Year 0 if required)
- Input Grant Method (before or after service year completed) .

Leave Entitlement by Employee
Finally, you can check the Leave Entitlement by Employee at Employee Management.
Go to section Leave for details of Leave summary by employee.

- Leave type - If you click on the link, you will be directed to the relevant leave settings.
- Yearly Entitlement and Earned - Clicking on these links will take you to calculation details, offering a better understanding of how entitlement and earned leave are calculated.
