Go to System Setup – Reminder Setting.
There's 2 Section for Probation and Workflow respectively.
If you already have the Setup, it will be listed and you may click view for details or edit to amend accordingly if required. You may also deactivate or delete if necessary.
If you need the report in excel, Click Export button.
Click Add Reminder to setup the reminder.
Select the Reminder Type – Probation or Workflow
Input the details according to your requirement :
- When to initiate the reminder
- Before or after the event
- Who to receive the reminder
- Repeat frequency
Example for reference:
Probation
Reporting Manger and Selected Role (HR-Admin) will receive email notification of employee 15 days before probation expires and will repeat again after 7 days until the probation expired
Workflow
Reviewer/ Approver will receive push notification and email, while others (Reviewer's Reporting Manger, Selected user or Selected Role) will receive email notification for pending requests after 7 days if no action taken by reviewer and will repeat again after 7 days until the request is approved or rejected.
After completing the reminder setup, the next step is to set the target rule. This step is important if the setup is only applicable to certain groups of employees. If the setup applies to all employees, you can skip this step.
To set the target rule:
- Go to the Target Rule section and click on Add Criteria.
- Select the criteria key from the drop-down list that matches the employee group you want to target and choose your selection from the available selections based on criteria selected.
- Click OK to add the criteria.
- If you need more than one criteria, click Add Criteria and repeat the above steps.
- Click Preview button to check the rules.
- Click Save once done
Note: By default, the condition is set to "In" for each criteria. If you need to change the condition, click on the drop-down menu to select the desired condition.
